Volunteer Opportunities
MACS relies upon volunteers to help with the many activities
necessary to run a premier USA Swimming club in Colorado. These
jobs help the team operate smoothly for the coaches, swimmers, and
parents. MACS’ goal is to have each family take on a
position that best suits their talents and time constraints.
The following is a list of the positions or committees that are
necessary to the smooth running of our team. If you’re

Board of Directors
President
- A one-year term following a year as president elect. The
president chairs all monthly board meetings, prepares the agenda,
and is a point of contact for team concerns.
President Elect- A one- year term spent assisting the
president and chairing the meetings in the president’s
absence.
Treasurer- Two-year term, prepares yearly budget and works
with bookkeeper in paying bills; prepares input on the financial
status of the team.
Secretary- Take minutes of the board meetings and
distributes to members.
Member at Large (2)-Work on special projects as determined
by the board.
Ways and Means Chairpersons (2)- Coordinate the many
fundraisers, serve as a clearinghouse of ideas for new fundraisers,
and present new fundraising ideas as well as status of current
fundraisers at board meetings.
MACS Meets
MACS holds large meets in October and January, and smaller ones in
the summer. These events are the biggest fundraisers for
MACS. All families are expected to volunteer at the meets in
some capacity-- timing, running, scoring, ribbons, or helping with
the concession stand.
The following are higher commitment positions. Please note
that these positions will draw on the general membership for
staffing.
Meet Director- In charge of the administrative side of the
meet. Assists head coach in getting USA sanction, communicates with
coaches from invited teams, sets up meet on Meet Manager, seeds the
meet with assistance of scorer, and works with head
timer. Consults with Concessions, Hospitality, and Safety
Coordinators as well as assisting Meet Program Director.
Scorer- (2) Runs computer with assistance, prints and posts
results, runs labels for ribbons, and runs official’s
reports.
Console- (2) Runs the timing console that runs the
scoreboard and works with scorer.
Concessions Coordinator- (2) Shops, stock, and staffs the
concession stand for the meet.
Hospitality- (2) Shops and prepares food for the main
workers, coaches, and officials at the meet.
Head Timer-(1) Makes sure all lanes are staffed with timers
at all times.
Meet Program Director- (1) Coordinates program ads, arranges
printing and sellers of programs at meet.
Food Donations- Goes to community businesses and solicits
donations for food to be sold at meet or used for Hospitality.
Silent Auction-Solicit donations and set up Auction at
meet.

Fundraising
SCRIP/King Soopers
- Take orders for SCRIP and King Soopers and distribute to
buyers.
Butter Braids- Distribute information, take orders. and
arrange for delivery.
Team Dinners- Arrange with restaurant and communicate with
team on details (email, bulletin boards, vouchers to coaches.)
SWIM-a Thon- Distribute information collect donations.
Raffle-Organize all aspects of the team raffle.
Apparel- Design, take orders, communicate with team,
and distribute MACS wear to team.
Team Suits/ Equipment- Work with MI Sports, take orders,
arrange try-on and distribute suits twice a year.
Tagawa gift card- Work with Tagawa to sell gift cards and
other seasonal items.
Publicity
Welcome Wagon Coordinator
-Welcome new families, answer questions, introduce them at meets,
and prepare write-up of swimmers for newsletter.
Distribute brochures within community-seek out promotional
Recruitment Coordinator opportunities within community
Sponsorship Coordinator-Solicits business for donations and
sponsorships.
Website- Update and mai:ntain MACS website.
Bulletin Boards- Maintain up to date information/calendar on
bulletin boards
MACS Hot-Line- Answer phone, activate phone tree if
necessary for current information
Newsletter-Collect articles and publish 6-7 times a
year. Make sure copies get to bulletin boards.
General
High School Prep Program
- Contact high school coaches, set up schedule with coaches,
prepare application and distribute.
Liaison- (6) one person per practice group that would be
responsible for coordinating group activities, distributing
information, planning group-related social events.
USA Official- Officiate at meets.
Annual Picnic- Arrange time, photographer, food and helpers,
notify team.
Legal Help - Pro Bono work as needed.
CPA- Help prepare tax forms.
Registration packets- Collate registration packets- update
information from prior year, verify that all forms have been filled
out at the beginning of year.
Motel/Hotel Reservations- Contact area motel/hotel
several months in advance of an away meet and reserves a block of
room. Distribute information to the team.
Pier Point
Cleaning
-Clean Pierpoint clubhouse area and locker rooms.
Snow removal
